Web Based Assessment System

Step by Step User Guidelines for using the Web-Based Assessment System

1. Accessing the Web-Based Assessment System
• Web URL: http://ss3.famu.edu/famous
• Pre-requisite software applications needed to use the system: Flash Player 9(or later version) (http://get.adobe.com/flashplayer/) Firefox Browser (http://www.mozilla.com/en-US/firefox/personal.html)

2. Logging into the system
• If your FAMU Email Address is john.smith@famu.edu your login id will be john.smith
• Password will be jsmith (your first initial, last name).

3. Create New Assessment plan/report
• Select “Forms” from the menu, Select “Create New Assessment plan/report”.

• Select the “Type” of form you wish to create (Instructional Programs (IP), Administrative and Educational Support Unit (ADESU)). This will depend on which College/School/Division you belong to.

• Complete the below fields for IP/ADESU General Information for Steps 1-3

i. College/School/Division
ii. Major(Only for IP programs)
iii. Degree Program/Unit
iv. Academic Year
v. Contact Person
vi. Populate Date Submitted, Steps 1-3

• Complete below fields for Institutional Mission/Goals Connection

i. Excerpt(s) Citing Linkage to University Mission Statement.
ii. Excerpt(s) Citing Linkage to University Goal (s) Statements.
iii. Program/Unit Mission/Goals.
iv. Does this Program require graduates passing a professional/licensing exam? (This step is only for Instructional Programs).

• IP/ADESU Steps 1-3 Outcome/Objective(To be performed while submitting assessment plans)
o Click the “Add Outcome/Objective” button (This will open a new window having the FAMOUS six steps).

Choose an Outcome from the drop down list or add an outcome. (This step is only for Instructional Programs).

Enter the information for the first three steps of the FAMOUS approach. Ensure all fields
are populated and Direct/Indirect Measures are filled for Steps 2 and 3.
Click the “Update Outcome/Objective (Save Changes)” button (This will add the
outcome/objective to the plan/report and return to previous window).
IP programs need to submit a minimum of five outcomes so the above steps need to be
repeated to add the necessary number of outcomes.
ADESU units need to submit a minimum of three objectives so the above steps need to be
repeated to add the necessary number of objectives.
Click on the “Update (Save Changes)” button to save the entered information and you
will receive a confirmation message when the save operation is successful. This step is
vital to ensure it is submitted.
o To add additional Outcomes/Objectives at a later point
Click “Add Outcome” button (This will open a new window having the FAMOUS six
steps). In the new window, populate the required fields as explained in above steps.
Click “Save Outcome(Save Changes)” button in the new window (This will add the
outcome/objective to the form and return to previous window).
Click “Update(Save Changes)” to save the entered information and you will see a
confirmation message when the save operation is successful. This step is required to
ensure the plan/report is submitted.
IP/ADESU Steps 4-6(To be performed while submitting assessment reports)
o Select “Forms” from the menu, Select “Edit” option.
o Select Type of form you wish to edit (IP/ADESU/ESS/Research/Community Service). This will
depend on which College/School/Division you belong to.
o Choose your program/unit if it is not selected for you.
o Complete Date Submitted, Steps 4-6.
o Click the “notepad” icon under Program Expected Outcome/Department Expected Objective.
This will open a new window having the six steps of FAMOUS approach.
o Populate the information for the last three steps (Step 4, 5 and 6) of the FAMOUS approach and
ensure that Direct/Indirect Results are filled for Step 4.
o Click the “Update Outcome (Save Changes)” button to save the outcome/objective. (This will
save the outcome in the plan/report and return to the previous window).
o Repeat the above step for each outcome/objective for which you want to add Steps 4 - 6.
o Click “Update (Save Changes)” button to save the entered information (outcome/objective
details) and you will see a confirmation message when the save operation is successful.

4. Update Existing Assessment plan/report
Select “Forms” from the Menu and select “Edit” option.
Select the Type of plan/report you wish to edit (IP/ADESU/ESS/Research/Community Service).
Make the desired changes for the plan/report on the sections (General Information, Institutional
Mission/Goals Connection and Program Expected Outcomes/ Department Expected Objective for Steps
1-6) which need to be amended.
Under Program Expected Outcomes/Department Expected Objectives, click “notepad” icon which is
next to the outcome/objective you want to change. This will open a new window having the six steps of
FAMOUS approach where you can make the needed changes and click the “Update Outcome (Save
Changes)” button to update it. This will save the outcome/objective in the plan/report and return to the
previous window.
Repeat the above step for each outcome/objective you want to modify.
Then, click the “Update(Save Changes)” button on first window after performing the editing changes to
save the changes and you will see a confirmation message when the save operation is successful. This
step is required to ensure the changes are saved.

5. View Report
Select “Reports” from the menu, Select “Assessment Plan Report”.
Make selections from drop down menus for the College/School/Division, Program/Unit, Degree Level
(for Instructional Programs only), Form Type (IP/ADESU) and Academic Year as per your requirement.
Choose the option View Report with or without the feedback comments and click “Generate Report” to
produce a Report for the Program/Unit
You can print the generated report for your records
